Knowledge

Arrange shared files and notes on your workspace’s visual canvas.

Knowledge is a shared canvas for a workspace’s references, files, and working notes. It fills the page beneath the top bar. The floating toolbar stays within reach as you move around.

Empty desks and new workspaces start with a Files folder and Get started.md. Double-click the guide to read it, or open it and choose Download file to keep a copy.

Add and organize

Choose Folder, Note, or Add files in the toolbar. You can also drop files directly onto the canvas. New cards appear in the area you are viewing.

Drag a card onto a folder to group it. Click the folder’s name to spread its cards out; click again to stack them. Double-click a card or press Space to open a clean, read-only preview. Space again or Escape closes it. Use Edit note or Rename file in the context menu to change an item; the editing dialog’s Folder selector also moves cards. Arrow keys move a focused card.

Right-click for actions specific to what you are pointing at:

  • Canvas: create a folder or note at that position, add files there, fit cards, return home, open the archive, or read this documentation.
  • Folder: open or close its stack, rename it, add a note or files inside it, or archive it.
  • File or note: preview it, edit a note or rename a file, move it to a folder or loose onto the canvas, download a file, or archive it.

On touch devices, press and hold to open the context menu. The toolbar and previews provide the same editing actions without right-clicking.

Select cards

Drag empty canvas space to draw a selection rectangle:

  • Right to left: any file, note, or folder touched by the rectangle is selected.
  • Left to right: the rectangle must fully surround the item to select it.

Hold Shift while clicking or drawing the rectangle to add to the selection. Hold Control to remove items from the selection; on a Mac, Command also removes. An ordinary empty-space click clears the selection. Selection changes only your view, and viewers can select too.

Drag any selected file, note, or folder to move the selection together. Arrow keys on a selected card move the same group. Items keep their spacing at canvas edges. A selected folder carries its contents once, even if its children are also selected. Drop cards on a stationary folder to file them there. If another person has changed a selected item, nothing moves; reload and retry.

Find your way

Use two fingers on your trackpad to pan and pinch to zoom in or out. Pinching keeps the point beneath the gesture in place. Switch to the Hand tool to pan by dragging over the canvas or cards; the middle mouse button also pans. Use the zoom buttons to see more or less detail, Fit to bring visible cards into view, and Home to return to the starting view. The folder shortcut opens and centers the folder you choose.

Search finds names and note text. Press Enter after searching to fit the matching cards. Clear the search to see everything again. With the canvas focused, + and - zoom, and 0 fits the cards. These controls change your view; the saved card positions stay the same.

Archive and restore

Archived cards stay recoverable. Choose the archive icon in the toolbar to restore them, or use Undo archive after archiving. Archiving a folder spreads its cards onto the canvas; restoring it groups them again. Archived attachments still count toward the file allowance.

Access and limits

Editors and leads can add, arrange, edit, and archive cards. Viewers can browse, preview, and download. Files can be up to 5 MB each, with 50 MB of attachments and 500 cards per workspace. Markdown and plain text open as readable text. Supported images and PDFs have previews. Unsupported formats show Cannot read this file yet in the preview. Use Download in the context menu to open them in their own application.

If a save reports that another session changed a card, reload before editing it again. If the desk cannot load, reload and check that you still have access to the workspace.

Agreed knowledge

Choose the Workspace details icon in the toolbar to open agreed knowledge, projects, people, and settings available to your role in a full-page view. Sidebar links open and scroll the same view. Choose Back to canvas to return to your existing selection and canvas position.

The canvas holds working material. Desk files and notes do not automatically become approved facts. In Agreed knowledge, editors propose and leads approve the facts projects should use.
